ADMINISTRATIVE ASSISTANT – HR&A (SALARY $2,190,302)
The Administrative Assistant provides high-level administrative and logistical support to the Human
Resources and Administration Division, in accordance with the goals and policies of the Council and the
relevant Labour Laws
Educational Requirement
- Bachelors of Science Degree in Business Administration or equivalent.
- Proficiency in Microsoft Suite and other applicable software solutions.
- Proficiency in minute taking, speedwriting and/or shorthand skills.
- Excellent time management skills and good ability to prioritize.
Experience
- Minimum three (3) years’ experience in similar position.

Duties and Responsibilities
- Take and produces minutes/notes for all meetings that involves the HR manager.
- Prepares the divisional monthly report, quarterly report, annual quality management report and
annual report.
- Arranges medicals for new employees and medical for laboratory staff.
- Arranges interviews for short-listed job applicants and summarizes results of interviews (score).
- Prepares and processes employment/offer letters and contracts, references for new employees and
regret letters.
- Monitors probationary period for new employees and prepares confirmation letters upon receipt of
advice from Supervisor.
- Review and update the organization chart when required and circulate to relevant persons.
- Draft letters and other correspondences at the instructions of the manager, as well as those requested
by staff.
- Follow up with team members responsible for actions from meetings to ensure that appropriate
actions taken.
- Maintains all personal and subject files and ensures that confidentiality are maintained.
- Follow up with personnel in the division to ensure that remedial
action is taken regarding NCARS and PARS received under the Quality Management System.
- Assist in the performance of Quality audit as required.
- Coordinate Food Handler’s Permit and Identification cards.
- Coordinates meeting schedule of manager and ensures electronic and hard calendars are in concert.
- Assists in providing support for internal activities, e.g. training, staff functions, Fun Day etc.
