ADMINISTRATIVE ASSISTANT – PROCESS DEVELOPMENT DIVISION (SALARY $2,190,302)

The Administrative Assistant provides high administrative and logistical support to the PROCESS DEVELOPMENT DIVISION, in accordance with the goals and policies of the Council. The successful applicant will report directly to the DIVISIONAL MANAGER, PDD and must have the following:

EDUCATION REQUIREMENT

  • Bachelor’s degree in Business Administration or equivalent
  • Training in Project Management

 

EXPERIENCE

  • Three (3) years post qualification experience in a related field

 

REQUIRED SKILLS AND SPECIALISED TECHNIQUES

  • Proficiency in software applications, especially Microsoft Word, Excel, PowerPoint, Outlook, PowerBI, Projects, etc.
  • Speedwriting and/or shorthand skills
  • Results-oriented and ability to meet deadlines
  • Ability to communicate effectively (both orally and in writing) at all levels
  • Excellent customer service, analytical, problem solving and organizational skills
  • Attention to detail and high level of accuracy

 

DUTIES AND RESPONSIBILITIES

  •  Develop and maintain an efficient records management system for the division, including filing, retrieving documents, and maintaining a centralized resource hub.

  • Coordinate project-based activities, including timeline management, communication with stakeholders, and preparation of project proposals.

  • Facilitate effective client communication, prepare and manage contracts, and assist with the coordination and execution of training workshops.

  • Assist with budget preparation, process invoices, track departmental expenditures, and provide input for material requirement plans and cash flow documents.

  • Manage the Manager’s calendar, schedule meetings and appointments, record accurate meeting minutes, and ensure follow-up on action items.

  • Prepare and submit monthly and quarterly divisional reports, ensuring compliance with regulatory requirements and alignment with divisional quality objectives.

  • Maintain office supplies inventory, recommended workflow enhancements, and support efficiency by managing digital tools and communication platforms.
