TELEPHONE OPERATOR/RECEPTIONIST – HR&A (SALARY $1,711,060 p.a.)

The Telephone Operator/Receptionist provides an initial link between the Council, its clients and members of the public, by responding to incoming and outgoing telephone calls, welcoming visitors/customers, and providing information to internal and external customers.

EDUCATION REQUIREMENT

  • Minimum Four (4) CXC or O’Level passes, which must include English Language.
  • Customer Service Certification.
  • Certification in the use of telephone equipment.
  • Familiarity with the use of an intercom system.
  • Proficiency in software applications – Microsoft Word, Excel and Outlook.

 

EXPERIENCE

  • Minimum three (3) years’ experience in switchboard operation within a customer Service environment.

 

REQUIRED SKILLS AND SPECIALISED TECHNIQUES

  • Excellent oral and written communication skills.
  • Excellent customer service orientation (Internal & External).
  • The ability to relate to all levels of staff.
  • Audible and pleasant voice with a calm and pleasing personality.
  • High level of maturity and ability to handle and manage sensitive situations.

 

DUTIES AND RESPONSIBILITIES

  • Greets visitors to the Council, giving directions and providing information as requested.
  • Manage telephone calls in a diplomatic and sensitive way with due regard to confidentiality.
  • Receives and logs submission of tender documents and monitors the tender box.
  • Disburses cheques to suppliers of goods and services, as provided by the Finance & Accounts Division.
  • Routes incoming calls to the relevant persons and/or takes messages, dispatch messages within a timely manner.
  • Assist with resolving complaints from customers by rerouting calls to Customer Service Officer in the Marketing & Corporate Communications Division.
  • Receives and signs for incoming mail from external Bearers.
  • Trains relief operators in the use of the switchboard and other duties of the position.
  • Records and compiles all telephone calls made through the switchboard, as requested by staff.
  • Oversees the general appearance of the Administration Building Lobby Area.
  • Performs other relevant duties as assigned within the Human Resources & Administration Division
